Sell at the counter with the POS
Ring up items, take payment and print a receipt in one screen.
The point of sale (POS) is a fast till screen. Each sale is posted as a normal paid invoice, so stock, tax and accounts update exactly as they do for any other invoice. Open it from Sales > POS or go to POS. It needs access to the POS module, and at least one cash or bank account (see Cash and bank accounts).
Ring up a sale
- Click in Scan barcode or search item and scan a barcode, or type part of an item name, SKU or barcode. The Products grid narrows as you type. A barcode scanner that types the code and presses Enter works as normal typing.
- Click a product tile to add it to the Cart. Pressing Enter in the search box adds the first match. Adding the same item again raises its quantity by one.
- In the cart, change Qty if needed, or click the bin icon to remove a line.
- In Checkout, pick the Branch (if your company has branches), the Customer (leave it as Walk-in Customer for an anonymous sale), and Pay Into, the cash or bank account that receives the money.
- Choose the Payment Mode: Cash, Card, UPI or Bank Transfer.
- For Cash, you can type the Amount Tendered. It is only used to work out the change.
- Click Complete Sale.
A Sale Complete screen shows the invoice number, the lines, Subtotal, Tax, Total and, for cash, Change Due. Click Print Receipt to print it, or New Sale to start the next one.
Prices and tax
- Prices come from each item's sales price. The price is shown but cannot be edited at the till, and there are no discounts on the POS. If you need a different price or a discount, create an invoice instead.
- Tax is added from each item's tax category when the sale completes. The Total at the bottom of the checkout card is the cart before tax; the receipt shows the tax and the final total that was actually charged.
- The sale is paid in full at the moment you complete it. The payment is recorded to the account you chose in Pay Into.
Reprint a receipt
The Recent Sales (today) panel under the cart lists today's POS sales with their invoice number, customer and total. Click Reprint on a row to open the printable receipt in a new tab. If you only have POS access, you see only the sales you rang up yourself. If you also have access to Sales, you see every POS sale in your branches. Older sales are found in Invoices.
Good to know
- Selling more than you have in stock is refused with a message like "Not enough stock for ...: N available, N required." for items that track stock.
- If no Pay Into account is chosen you will see "Select a cash/bank account to receive the payment."
- The first POS sale without a named customer creates a customer called Walk-in Customer automatically. It is hidden from the customer drop-down because the Walk-in Customer option already covers it.
- Only active products and services appear in the grid. Add items in Inventory.
- A sale made on a date inside a locked accounting period is refused. See Financial years and periods.
- To undo a POS sale, void the invoice, but first void the payment that was recorded with it. See Void an invoice.
