US Sales Tax by Jurisdiction report
See taxable sales and tax collected per state, county and city, and download an invoice-wise CSV.
This report is for US companies. It groups the tax on your posted invoices by the jurisdiction the tax was due to. Open US Sales Tax by Jurisdiction under Accounts > Reports. It needs access to Reports, and appears in the Reporting Center when your company's country is the United States.
Run it
- Set From and To.
- Click Run Report.
Four cards show Taxable Amount, State Tax, County + City Tax and Total Tax. The By Jurisdiction table lists each place with its Taxable Amount, State Tax, County Tax, City Tax and Total Tax, and a Total row.
How it is worked out
- Only posted invoice lines that have a tax category count. The tax is calculated again from the customer's billing state and city and the rates you set up, the same way it was when the invoice posted. See How tax is calculated.
- The place is the customer's most specific jurisdiction: their city or county if you set one up under their state, otherwise the state.
- If an invoice's customer has no state on file, or their state has no jurisdiction set up, the sales cannot be placed. A yellow warning then shows the amount: "... of taxable sales in this range had no resolvable destination jurisdiction". These sales are left out of the rows rather than guessed at. Fix the customer's billing address, or add the jurisdiction in Tax Jurisdictions, and run the report again.
- Because the place is worked out when you run the report, changing a customer's address later changes where an old invoice appears.
Download the invoice list
Click Download Invoice CSV to download an invoice-wise CSV for the same range, which is the detail behind the totals. A branch-restricted role cannot download it, because a downloaded file cannot carry a "filtered to your branches" notice.
Live tax provider
At the bottom, the Live Tax Provider card shows Not Configured unless a provider is connected. Tax on invoices is calculated locally from the jurisdictions and rates you configure. Legasum does not decide whether you have to collect tax in a state and does not file returns.
Good to know
- Credit notes are not subtracted here. Check the Tax Summary for net tax after credit notes.
- A branch-restricted role sees the report for their branches only, with a notice.
