Set up rooms, seats and shifts
Tell Legasum how many seats your library has, how they are grouped into rooms, and which shifts students can take.
Open Seats & Shifts from the Library menu. This page is where you describe the library itself. You need the Library Create permission to change anything here; with View only you can read it.
Add rooms (optional)
Rooms are useful when the library has more than one area, such as a first floor and a second floor. If you skip rooms, the library is simply one list of seats.
- In the Rooms card, type a Room name, for example First Floor.
- Enter the number of Seats for that room.
- Check the Seat label prefix. Legasum suggests one from the room name (First Floor becomes FF-). Seats are then named FF-1, FF-2, FF-3, so the same number in two rooms is never confused.
- Select Add room.
To change a room later, select Edit on its row, change the name or the seat count, and select Save. Close room takes a room out of use; Reopen brings it back. Growing a room adds new numbered seats. Shrinking it removes the newest seats that nobody holds.
If the library already had seats before you added rooms, a message tells you how many seats are not in any room. Choose a room name in that message to move them all into it.
Set the number of seats (library without rooms)
If the library has no rooms, the Seats card has a Total seats box.
- Type the total number of seats you want, up to 2000.
- Optionally type a Label prefix (optional), for example A-.
- Select Update seats.
New seats are numbered 1, 2, 3 and so on. If you lower the number, Legasum removes the newest seats that no student holds. Seats that students still hold are never removed; you will be told to move those students first.
Add shifts
A shift is a daily time window. Each seat can hold one student per shift.
- In the Shifts card, type a Shift name, for example Morning.
- Set the Start time and Close time.
- Select Add shift.
Each shift row shows the number of students in it. Edit changes the name and timings, and Switch off or Switch on controls whether the shift can be used.
Good to know
- Shift names must be unique within a library, and so must room names and seat labels.
- Once students are enrolled in a shift, its start and close times are locked and it cannot be switched off. Add a new shift instead.
- The number of seats is limited to 2000 per library.
