Cash Flow and Day Book

Follow real cash movement over a period, and list every transaction posted on one day.

Both reports read the posted entries in your books. They need access to Reports.

Cash Flow

Cash Flow shows the real movement of money in and out of your cash and bank accounts. Open Accounts > Reports > Cash Flow or go to Cash Flow.

  1. Set From and To. They start as 1 January of this year and today.
  2. If your company has branches, choose a Branch or All Branches. The drop-down starts on the branch picked in the sidebar.
  3. Click Run Report.

You see three cards: Beginning Balance (the total in all cash and bank accounts the day before From), Net Change and Ending Balance. The Cash Movement by Activity table groups the net movement by what caused it:

Opening BalancesOpening balances of cash and bank accounts.

OtherAnything else that touched cash, such as a reconciliation adjustment.

Groups that net to zero are left out. Positive amounts are money in; negative amounts are money out. The report is a direct view of cash movement. It is not a full operating / investing / financing statement.

Invoices and bills you have not yet paid do not appear, because no cash has moved. Use the Ageing reports for those.

Day Book

The Day Book lists every transaction posted on one date, with its full lines. Open Accounts > Reports > Day Book or go to Day Book.

  1. Set the Date. It starts on today.
  2. Click Run Report.

You see two cards, Entries and Total Debits, then one block per journal entry in number order. Each block shows the entry number, its memo, a tag for its source (for example SALES_INVOICE, PARTY_PAYMENT or MANUAL), and a table of Account, Description, Debit and Credit. If nothing was posted that day, it says "No transactions posted on this date."

The Day Book follows the branch picked in the sidebar: choose a branch there to see only that branch's entries, and a small note reminds you. See Switch company and branch.

Good to know

  • Both reports use the date on each entry, not the day it was typed in.
  • Voided entries do not appear.
  • A role restricted to certain branches sees only those branches' entries in both reports.
  • To follow a single account instead, use its ledger.
