Track deals in the opportunities pipeline
Create opportunities, see them as a list or a pipeline board, and view the weighted forecast.
An opportunity is a deal you are working on with one of your customers. Open CRM > Opportunities. Each opportunity sits in a stage, which also sets a default chance of winning.
| Stage | Default probability |
|---|---|
| Prospecting | 10% |
| Qualification | 25% |
| Proposal | 50% |
| Negotiation | 75% |
| Won | 100% |
| Lost | 0% |
Create an opportunity
- Select New Opportunity.
- Enter a Name and choose the Account. The account must be an existing client record; the form will not save without one.
- Optionally pick a Contact (the list shows contacts of that account), Currency, Amount, Stage, Expected close, Owner, Source and Next step. Owner defaults to you. A Branch field appears only if your company has branches.
- Select Create opportunity.
The amount you type is used until you add line items. Once an opportunity has line items, its amount is the sum of the lines before tax. See Work an opportunity.
Four ways to look at them
Use the buttons at the top:
- List: a table with Opportunity, Account, Amount, Stage, probability, Expected close, Owner and Branch. Click a column heading to sort.
- Pipeline: a board with a column for each stage. Drag a card to another column, or use the Move to menu on the card. Moving to Won or Lost asks for a reason. A closed card must be reopened before it can move again.
- Forecast: open opportunities only. The weighted amount is the amount multiplied by the probability. Each currency is shown separately, and totals are split by stage, expected close month, owner and branch.
- Stage Aging: for each stage, how many opportunities are open, the average days and the oldest in days. The days count from when the opportunity last moved into its stage.
Filter
The filters apply to every view: Search (name or account), Owner (including Unassigned), Branch, Account, and Expected close from / to. The Stage filter is available in the list view.
Import and export
- Import CSV: download the template, fill it in, then Preview and Commit Import. Columns are Name, Client, Amount, Currency Code, Stage, Probability, Expected Close Date, Owner User Id, Source, Next Step and Next Step Date. The Client column must match a client or supplier account that already exists, otherwise the row is marked invalid.
- Export downloads CSV or Excel for the current filters.
Delete
Select the bin icon on a row and confirm. An opportunity that already has documents created from it cannot be deleted.
Good to know
- You can type your own probability on an open opportunity. Won is always 100% and Lost is always 0%.
- Sales targets and the forecast categories use these opportunities. See Sales targets and attainment.
