Add a product or service
Fill in the Add Item form, including prices, tax and opening stock.
On this page
Steps
- Open Inventory > All Items and click Add New Item (or open Add Item directly).
- Under Basic Information, enter the Name (required) and choose the Type: Product or Service.
- Optionally fill in SKU, Barcode, and the HSN Code (products) or SAC Code (services). The tax code field is meant for India only.
- Choose a Category and Unit, or leave them as None. If the one you need is missing, click the + button beside the field, type a name (and a code for a unit) and click Add. It is created and selected for you.
- For a product you can also set a Secondary Unit (optional), for example boxes that each hold a number of pieces. Enter how many of the secondary unit make up 1 of the main unit in the small "per 1" box.
- Add a Description if you like.
- Under Pricing & Tax, enter the Sales Price (required) and, if you want, the Purchase Price. Choose a Tax Category and tick Price includes tax if your prices already contain tax.
- For a product, the Inventory section appears. Leave Track inventory ticked if you want Legasum to count stock. Then set a Reorder Level (the level at which the item shows up in Low Stock Alerts) and an Opening Stock (how many you have today).
- Add any Notes and click Add Item.
You return to the item list when it is saved.
Opening stock
Opening stock is the quantity you hold when you start using Legasum. It is recorded in your default warehouse (see Warehouses). If you also enter a Purchase Price, the starting value of that stock is recorded in your accounts too. If that accounting step fails, the item is still saved and you are shown a warning.
Opening stock can only be set once. After it has been recorded the field is greyed out and labelled "locked once posted". To change the quantity later, use a stock adjustment.
Good to know
- Each SKU can be used by only one item in your company. If you reuse one, you will see a message like "SKU ... is already used by ...".
- Services never track stock, so the Inventory section does not appear for them.
- The Tax Category list depends on your company's country. If no country has been set for the company, the list is empty and stays at Not set.
- The Sales Price must be zero or more.
