Import, export and bulk edit parties
Load many customers and suppliers from a spreadsheet, download your list, or change several records at once.
These tools are on the Customers, Suppliers and full Parties lists.
Import from a file
- Select Import CSV.
- Choose CSV or Excel (.xlsx) and select Download Template.
- Fill in the template. The columns are: Name, Party Role, Client Type, Email, Phone, Country Code, Payment Terms Days, Credit Limit, Currency Code, Opening Balance, Opening Balance Type, Notes and Tags. Separate several tags with a semicolon.
- Choose your file and select Preview.
- Check the table. Each row is marked create, update or Invalid, and invalid rows show what is wrong.
- Select Commit Import. Nothing is saved until you do this.
- Read the result: how many were created, updated and failed. Select Done.
An existing party is matched by its name or email address. A matching row updates that party instead of creating a duplicate.
Export your list
Pick CSV or Excel next to Export, then select Export. The file follows the search and filters currently applied on the page. You need export permission, otherwise an error appears beside the button.
Bulk edit
- Tick the boxes beside the parties you want to change. Tick the box in the header to select every row on the page.
- Select Bulk Edit. The button shows how many you selected.
- Tick each field you want to change and type its new value. The fields are Phone, Payment Terms (Days), Credit Limit and Notes.
- Select Preview to see the exact change for every record, then select Commit Bulk Update.
Good to know
- Import and bulk edit follow the same preview-then-commit steps, so you can always check before saving.
- In the Party Role column use customer, supplier or both. Other values are marked Invalid on the preview.
