Receivables and Payables Ageing
See which invoices and bills are still unpaid and how overdue each one is.
The two ageing reports list everything still outstanding and group it by how late it is. Receivables Ageing is about invoices customers owe you. Payables Ageing is about bills you owe suppliers. They work the same way.
Open them from Accounts > Reports: Receivables Ageing and Payables Ageing. They need access to Reports.
Steps
- Set As of. It starts on today.
- Click Run Report.
What you see
Five cards, one per age bucket, each with the total balance in it:

| 1-30 days | Overdue by 1 to 30 days. |
| 31-60 days | Overdue by 31 to 60 days. |
| 61-90 days | Overdue by 61 to 90 days. |
| 90+ days | Overdue by more than 90 days. |
Below, the Outstanding Documents table has one row per document: Document #, the Customer (or Supplier), Due Date, a Bucket badge, Total, Paid and Balance. If nothing is owing, it says "Nothing outstanding as of this date."
How it is worked out
- Only posted invoices (or bills) with a balance above zero are listed. Fully paid ones, drafts and voided ones are left out.
- The days overdue are counted from the document's Due Date to the As of date. A document with no due date is aged from its document date, which is why entering a due date matters.
- Paid is the sum of every posted payment allocated to that document, whatever date the payment is dated. The As of date changes the ageing, but it does not rewind payments. Voided payments are not counted.
- Credit notes and debit notes are not subtracted here. See Credit notes.
Good to know
- To chase late customers, use reminders and Collections. To record a payment, open the document; see Record a payment on an invoice and Pay or void a bill.
- If your role is limited to certain branches, only documents from your branches are listed, and a notice says so. Documents with no branch are excluded for such a role.
- The balance is per document. For one customer's overall position including credit notes and opening balance, use the Ledger tab on the customer page.
