Share documents and files with customers
Documents stay private until you switch them on for the portal.
The rule
Nothing is visible in the portal by default. Every document you upload to a customer, and every file you upload to a project, starts as Private. It reaches the portal only after a staff member turns it on, and you can turn it off again at any time.
Share a customer document
- Open the customer from Customers and go to the Documents tab.
- Use Upload to add the file, if it is not there yet.
- Next to the file, click the badge that says Private. It changes to Visible in Portal.
- Click the badge again to make it private.
Changing the visibility needs the permission to edit customers.
Share a project file
- Open the project from Projects and go to the Files/Details tab.
- Next to the file, click the badge that says Private. It changes to Portal.
- Click it again to make the file private.
A project file is shown to the customer who owns the project. For a supplier, it is shown only on projects they are currently assigned to (see Suppliers and service providers).
What the customer sees
On the portal Documents page the customer sees a table with the Name, Type, Size and Shared date of each shared file. The page says that only documents a staff member has explicitly shared appear. The portal lists the files; it does not show private ones, files from other customers, or deleted files.
Good to know
- Check a file before you switch it on. Anything you share can be read by every portal login of that customer.
- Deleting a document or file removes it from the portal as well.
