Sales, Purchases and Profitability reports
See what you sold and bought, to and from whom, and the gross profit on each item.
These three reports summarise your posted invoices and bills for a date range. They need access to Reports. Only posted documents count: drafts and voided documents are left out.
All three have the same filters. Set From and To (they start as 1 January of this year and today), choose a Branch if your company has branches (All Branches or one; it starts on the branch picked in the sidebar), and click Run Report.
Sales Report
Open Sales Report.
- Cards: Invoices (how many were posted in the range) and Total Revenue, which is the sum of the invoices' amounts before tax.
- By Item: quantity and amount for each catalogue item sold. Free-text lines without an item are not listed here.
- By Customer: each customer's total, including tax.
- By Owner: totals by the person who created the invoice. There is no separate salesperson field, so the creator is used.
- By Source: POS sales against Other, which is everything else. This is not a marketing source.
- By Category: totals by item category. Items without a category, and free-text lines, fall under Uncategorized.
Credit notes are not subtracted from this report.
Purchases Report
Open Purchases Report. It mirrors the Sales Report for bills.
- Cards: Bills and Total Purchases (before tax).
- By Item: quantity and amount for each catalogue item bought.
- By Supplier: each supplier's total, including tax.
Debit notes are not subtracted.
Profitability
Open Profitability. It shows gross profit for each catalogue item sold in the range.
- Cards: Revenue, Cost and Gross Profit.
- Gross Profit by Item lists Qty Sold, Revenue, Cost, Gross Profit and Margin %, best first.
Revenue is the lines' amounts before tax. Cost is the item's current purchase price times the quantity sold, which is what posting the invoice booked as cost of goods sold. Services and any item that does not track stock have zero cost, because no cost is booked for them.
Good to know
- Amounts in the by-customer and by-supplier tables include tax, while the headline totals do not, so they will not add up to the card.
- The cost uses the item's purchase price as it is now. If you change an item's purchase price, the Profitability report restates earlier sales at the new price, even though the ledger kept the old cost.
- Stock levels and value are in the Stock Summary report.
- With a branch-restricted role, only your branches' documents are counted.
