Set up room types, rooms and nightly rates

Create the room types, floors and rooms a hotel sells, and give each type its nightly rate.

Before you start

The Hotel menu only appears for a branch of type Hotel. If your company has no hotel yet, open Branches, add a branch and choose the type Hotel. You also need the Hotel "Create" permission to change anything here; people with only "View" can read the page but see no buttons.

Open the setup page

Choose Hotel then Rooms & Rates in the left menu (or open Rooms & Rates). The page has three sections.

Add room types and set the nightly rate

  1. In Room types and nightly rates, type a name in Room type (for example Standard or Deluxe).
  2. Optionally fill Sleeps (optional), the usual number of guests.
  3. Click Add room type.
  4. In the table, type the price in the Nightly rate box on the new row and click Save. You will see "Saved the ... rate."

The rate must be more than zero and can have at most two decimal places. Every type needs a rate before it can be booked, because a booking is priced from its room type's nightly rate. The Hotel module has one nightly rate per type; it has no seasonal prices or rate plans.

Add floors or wings (optional)

In Floors and wings, type a name such as First Floor and click Add floor. Floors only group rooms on the room rack. You can add rooms without a floor.

Add rooms

  1. In Rooms, enter the Room number (for example 101). Room numbers must be unique within the hotel.
  2. Choose the Type and, if you use floors, the Floor.
  3. Click Add room.

The table shows each room's type, floor and current state in the Now column.

Remove or restore

  • Remove on a room type is only possible when the type has no rooms. Restore brings it back.
  • Remove on a room is refused when the room has upcoming bookings or a guest in it. Move the bookings to another room first.
  • Hide on a floor hides it from the add-room choices; Show brings it back.

Good to know

  • Names must be unique: two room types, floors or rooms cannot share a name or number in the same hotel.
  • You cannot change a room's type while it has bookings.
