Set prices and understand how a stay is priced

Give each room type a nightly rate and optional weekly and monthly rates, and see how Legasum picks the cheapest mix for long stays.

Set the rates

You need the Hostel "Create" permission.

  1. Open Rooms & Rates.
  2. In Room types and rates, find the type. Its row has three boxes: Nightly, Weekly and Monthly.
  3. Enter the prices and click Save. You will see "Saved the ... rates."
  • Nightly is required and must be more than zero.
  • Weekly (covers 7 nights) and Monthly (covers 30 nights) are optional. Leave a box empty, or empty it and save, to remove that rate.
  • For a private room type the prices are per room. For a dorm type they are per bed.
  • Amounts can have at most two decimal places.

How Legasum prices a stay

A stay is priced as the cheapest way to cover its exact number of nights using months (30 nights), weeks (7 nights) and single nights. It tries every mix that adds up to exactly the number of nights and keeps the cheapest. If two mixes cost the same, it prefers the one with fewer lines on the bill, then the one that uses longer units.

Two things follow:

  • A weekly or monthly rate is never used if it would cost more than the same nights at the cheaper rates.
  • A stay is not rounded up to a full week or month. Six nights are six nights at the nightly rate, even if the weekly rate is only a little higher.

Example

Suppose a bed costs 800 a night, 4,500 a week and 15,000 a month.

If the weekly rate were set at 6,000, which is more than 7 nights at 800 (5,600), Legasum would simply charge nightly.

Where you see the price

  • When you check availability while booking, each room type shows its rates and the total for the stay at the best mix.
  • On the stay page, Price for the stay shows the total.
  • After check-in, the folio shows one line per unit: for example "1 week" and "3 nights", each with its own price. See Bill a stay.

Good to know

  • If you change the dates of a guest who is already in, the stay lines are re-priced for the new number of nights. The old lines are voided and stay visible on the folio.
  • The lines on a guest's bill are written at check-in with the rates of that moment. Changing a rate later does not alter a bill already open, unless you change the stay's dates (then the lines are re-priced with the current rates).
  • The Hostel module has no seasonal prices, discounts or weekday rates; the three rates above are all there is.
