Set up private rooms, dorms and beds
Create room types, floors, private rooms and dorms, and choose how many beds each dorm has.
Before you start
The Hostel menu only appears for a branch of type Hostel. If your company has no hostel yet, open Branches, add a branch and choose the type Hostel. You need the Hostel "Create" permission to change anything on the setup page; people with "View" can read it.
Open the setup page
Choose Hostel then Rooms & Rates in the left menu, or open Rooms & Rates. It has three sections.
Add a room type
A room type decides how a room is sold.
- In Room types and rates, type a name in Room type (for example "Double room" or "6-bed dorm").
- In Kind, choose Private room (booked whole) or Dorm (beds) (booked bed by bed, and the price is per bed).
- Optionally fill Sleeps (optional) for a private room, or Beds per dorm (optional) for a dorm (up to 24).
- Click Add room type.
- Enter the prices on the type's row and click Save. See Set prices.
Every type needs a nightly rate before it can be booked.
Add floors or wings (optional)
In Floors and wings, type a name such as Ground Floor and click Add floor. Floors only group rooms on the rack. Hide and Show switch a floor on or off.
Add rooms and dorms
- In Rooms and dorms, enter the Room number (for example P1 or D1). Numbers must be unique.
- Choose the Type. For a dorm type a Beds box appears; it suggests the type's usual bed count (or 4 if none is set).
- Choose a Floor if you use floors.
- Click Add room.
A dorm automatically gets its beds, numbered 1, 2, 3 and so on. They are the units you book and check in.
Change the number of beds
In the Beds column of a dorm, change the number and click Save. Adding beds is always possible. Removing beds is only possible when enough beds are free: a bed with a guest or an upcoming booking cannot be removed, and you will be asked to move those guests first.
Remove or restore
- Remove on a room type works only when it has no rooms.
- Remove on a room is refused if it has bookings or a guest.
- Restore brings a removed type or room back.
Good to know
- A private room cannot be turned into a dorm, or the other way round. Add a new room instead.
- You cannot change a room's type while it has bookings.
